Personal information will not be used for purposes that are incompatible with the reason for which it was collected unless there is an appropriate legal or other legitimate basis for doing so.

5. Data Minimisation and Privacy by Design

The BecA Hub, through ILRI's institutional systems and processes, seeks to incorporate privacy and data protection into the design and operation of information systems, services and business processes.

We aim to collect only the minimum amount of personal information reasonably necessary for the intended purpose.

Access to personal information is restricted to authorised persons who require access for legitimate operational, administrative, research or other institutional purposes.

Access requirements and permissions may be reviewed periodically and changed or removed where access is no longer required.

6. Consent and Choice

Where consent is the appropriate basis for processing personal information, we will seek appropriate consent before collecting or using that information.

Where applicable, information provided when requesting consent may explain:

  • why the information is being collected;
  • how it will be used;
  • how long it may be retained;
  • whether it may be shared or transferred;
  • how you may exercise applicable data-protection rights; and
  • how consent may be withdrawn.

Withdrawing consent does not affect processing that was lawfully undertaken before consent was withdrawn.

7. How We Protect Personal Information

The BecA Hub operates within ILRI's institutional environment and uses appropriate administrative, organisational and technical measures designed to protect personal information against unauthorised access, accidental loss, alteration, misuse, disclosure or destruction.

These measures may include access controls, authentication, secure infrastructure, system monitoring, controlled data access, appropriate storage practices and other information-security measures.

Although reasonable safeguards are employed, no internet transmission or information-storage system can be guaranteed to be completely secure.

8. Sharing and Disclosure of Information

The BecA Hub and ILRI do not sell or rent personal information.

Where necessary for legitimate activities, information may be shared with authorised ILRI personnel, BecA Hub programme partners, research collaborators, service providers or other organisations involved in delivering a particular programme or service.

Third-party service providers may, for example, support website hosting, communications, surveys, event management, data processing or other operational services.

Where third parties process personal information on our behalf, appropriate safeguards are expected to be applied.

Aggregated or anonymised information that does not identify individuals may also be used or shared for research, statistical, reporting, programme-management or analytical purposes.

9. International Data Transfers

The BecA Hub works with researchers, institutions, partners and service providers in different countries.

Consequently, personal information may in some circumstances be processed or transferred outside the country in which it was originally collected.

Where such transfers occur, appropriate safeguards will be applied in accordance with applicable requirements and ILRI's institutional data-protection practices.

10. Legal Disclosure

Information may be disclosed where reasonably necessary to:

  • comply with applicable law, regulation, legal process or a lawful governmental request;
  • protect the rights, property or safety of ILRI, the BecA Hub, website users or others;
  • protect intellectual property or other legal rights;
  • investigate misuse of our services or systems; or
  • enforce applicable agreements and policies.

11. Third-Party Websites and Services

The BecA Hub website may contain links to websites operated by partners, donors, research organisations, social-media platforms and other third parties.

These external websites are governed by their own privacy practices and policies. The BecA Hub and ILRI do not control the privacy practices or content of third-party websites merely because a link to them appears on this website.

Users are encouraged to review the privacy policies of third-party services before providing personal information to them.

12. Children's Privacy

The BecA Hub website is not intended to collect personal information directly from children through ordinary website use.

Persons under 18 years of age should not submit personal information through the website without appropriate supervision, consent or authorisation from a parent, guardian or other responsible adult where required.

Where programmes or research legitimately involve minors, appropriate ethical, legal, consent and safeguarding procedures will apply separately.

13. Data Retention

Personal information will be retained only for as long as reasonably necessary for the purpose for which it was collected, or as required for legitimate institutional, research, contractual, archival, regulatory or legal purposes.

Retention periods may therefore differ depending on the type of information and the activity for which it was collected.

When personal information is no longer required, it will be securely deleted, anonymised or otherwise managed in accordance with applicable institutional retention requirements.

14. Your Data Protection Rights

Subject to applicable law and the circumstances in which your information is processed, you may have rights relating to your personal information, including the right to:

  • request access to personal information held about you;
  • request correction of inaccurate or incomplete information;
  • request deletion of information where appropriate;
  • request restriction of certain processing;

Requests may be subject to identity verification and any limitations or exemptions permitted by applicable law.

15. Data Security Incidents

ILRI maintains processes for responding to personal-data and information-security incidents.

Where a personal-data breach occurs, appropriate investigation, containment, remediation and notification procedures will be followed in accordance with applicable requirements and ILRI's institutional procedures.

16. Changes to this Privacy Policy

This Privacy Policy may be updated periodically to reflect changes in the BecA Hub's activities, technologies, website functionality, institutional requirements or applicable legal and regulatory requirements.
